Joyce, Chief of Police , SUBJF)CT: Grade Ghange for Patricia Lubben Mrs. Lubben has w�orked for the McHenry Police Department as a Junior Clerk for the last 4 years. She is one of our most valued em�loyees. Her work has been outstanding in all areas of her responsibility. . In reviewing her work, I find that her position is best described in the Senior Clerk catagory rather than the Junior Clerk. JOB TITLT�: Senior Records Clerk DIVISION: Records �R�� Chief, Patrick J. Joyce PREPARATION DATE: May 19, 1989 WAGE CAT�7GORY: Regular Full Tirne Non-E�cempt WAGE C�2AI)E: 5 JOB SUNY�IARY Under general supervision, performs clerical duties requiring the use of a wide variety of office practices, procedures and routines. Serves as a receptionist and has constant direct contact with the general public and other law enforcement agencies. Handles the exchange of monies for police reports and accident reports. Answers incoming and internal police calls, either giving infonnation or directing to proper individuals. On a 24 hour call for additional duty as required. , JOB DUTIFS AND RFSPpNSIBILITIFS 1. Answer telephone to give general inforniation. 2. Take messages or direct calls to appropriate person or departsnent. 3. Assistance at counter window with copies or reports, written receipts and inforn�ation. 4. Basic knawledge af the Crims Menu for entering and retrieving camputer data,ie, Accidents, Traffic Tickets, Calls for Service, IUCR, Parking Tickets, etc. 5. Process I�ccident and General Case �teports, inclucling canputer entry. 6. Assist Officers or outside agencies to retrieve inforniation frcxn the computer or card files for record checks. 7. Retrieve and update ccxr�uter entries pertaining to court dispositions in regards to tickets and arrests. 8. Continuing education on all new formats pertaining to our cc7m�uter system. 9. Prepare w�eekly court call with information needed for officers entered on specific pages. Pull records pertaining to trials slated for that particular day. . � � � . : . � � 10. Make IUCR entries on Leads Cc�rr�uter terminal and close out data � at the end of each month. 11. Process case clearances received fran the Detective and Juvenile Division. 12. Maintain accurate records on Offenders locked up in our Departments Jail. Send in quarterly reports to the Department of Corrections. JOB RDQUIRF��NTS 1. Maintain confidentiality concerning all police matters. 2. Be courteous, thorough and professional when dealing with the General Public. 3. Accurate and ccxr�lete in all aspects of record keeping. 4. Basic cc7m�puter knavledge. 5. Capable to handle another clerks duties in their absence. MINIMUM QUALIFICATIONS 1. 12 years of general education or equivalent. 2. General knawledge of office skills and procedures. JOB SPEICIFICATIONS 1. P�dequate typing skills. 2. �en t�ripered disposition in dealing with the General Public.
